Shere Swimming Pool Club (“SSPC”) respects each individual’s right to personal privacy. We collect and use information through our membership process and at the swimming pool only in the ways covered in this statement.

SSPC is committed to operating in a way that complies fully with the provisions of the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2018. SSPC recognises that the personal data legitimately required in order to carry out its business must be collected, processed, stored and disposed of fairly, lawfully and with due regard to confidentiality. THE INFORMATION WE MAY COLLECT ABOUT YOU
If you apply for membership, make a donation, volunteer, or sign up for an event we will usually collect:
Your name
Your contact details
Names of family members
Members' dates of birth
Payment details
UK taxpayer status for Gift Aid purposes
Your acceptance of membership rules, terms and conditions.
COOKIES
We do not use cookies for any tracking purposes. Some cookies may be used to support the functionality of our website(s) to enable it/them to work better for you.
USE OF YOUR DATA
We take the privacy of our member’s data seriously and will only use your personal information for club administration purposes and for communicating with you about your membership. Access to your details is restricted to the Membership Secretary and selected Trustees, as necessary, to enable them to carry out their roles such setting up the Cleaning Rota, the Booking System and to enable us to communicate with you by email. We will never sell your data. Neither will we pass it on to any third party without your permission.

DISCLOSURE OF YOUR INFORMATION
We do not sell or share your personal details to third parties for the purposes of marketing. However, should we run an event in partnership with another named organisation then your details may need to be shared. We will be very clear what will happen to your data when you register for the event.
We will only share your details where legally required, for example where a person reports abuse or a serious intention of harming someone else or in respect of the prevention or detection of crime.
ACCESS TO INFORMATION
The Data Protection Act 1998 (“Act”) gives you the right to access information we hold about you.
SECURITY
Trustees and their agents within SSPC will take all necessary steps to make sure that personal data is kept secure at all times against unauthorised or unlawful loss or disclosure. SSPC will retain personal membership data no longer than absolutely necessary. Any data no longer required will be deleted or disposed of confidentially and completely. Records deleted on live systems will also be deleted from system back-ups and archives, along with any hard copies.
THIRD PARTY SOFTWARE AND LINKS
We use Google to provide email services, and a third party company called Membermojo who specialise in sport’s club membership administration. We have a contract in place with Membermojo that requires them to keep your information secure and not to use it for their own purposes. Otherwise we do not at present use any third party software outside the direct control of SSPC to collect and store your data. We reserve the right to do so in future, and we may from time to use other services to assist in running the club. We encourage you to read their privacy policies as their standards may differ from ours and we are unable to accept responsibility or liability for their policies.
